Job purpose:
The overall purpose of this role is to maintain an effective, efficient, compliant, safe, secure, operating environment in GOAL Antakya office. This role is responsible for the smooth running of the Antakya office and will work closely with other GOAL offices in Turkey.
Duties, objectives, and competencies
Office Management and administration
Oversee and facilitate the functioning of the GOAL Office in Antakya:
  • Oversee any administrative functions for the GOAL Antakya office,
  • Ensure that the facility is fully operational with all utilities functioning properly,
  • Support system functions within the office, liaise with technical departments to ensure that systems staff in the office have adequate support and
  • Support the induction of new staff in the office and ensure adequate workspace and relevant equipment is provided,
  • Ensure office and kitchen supplies are stocked, and facilitate basic day-to-day office running,
  • Ensuring that facilities meet government regulations and environmental, health and security standards and assist with the energy management as directed by the OHS Focal Point.
  • Ensure effective management of the office budget to maintain adequate support.
Logistics:
  • Work with the Logistics department in Antakya and Ankara to:
  • Manage new office in Antakya; ensure adequate systems are in place, leases and insurances are updated, payments are made, acting as key focal point for landlords,
  • Ensure timely repairs and maintenance of premises, ensure services are functional, utilities are paid etc.
  • Support the relocation of premises if needed,
  • Monitor cleaning staff and ensure an appropriate level of cleanliness is maintained according to cleaning check lists.
  • Ensure a regular delivery of drinking water and office supplies, re-ordering the supplies that are low in stock.
  • Ensure to routine maintenance of the equipment that require regular maintenance in premises e.g. air conditioners.
  • Monitor stocks and use of consumables and the functioning of equipment/assets, and action accordingly,
  • Monitor drivers and ensure appropriate transport is available for staff managing local travel,
  • Fleet management will be performed in coordination with related logs staff under the line management of LC:
    • Check the Vehicle Log Books, for each vehicle on a weekly basis
    • Vehicle movement sheets
    • Vehicle repair sheets
    • Daily and weekly check lists
    • Organize and supervise the daily fleet inspection (confirmation documents, equipment, adequate fluids, and fuel).
    • Arrange staff travel as needed with Senior Logs Officer, airport pickups, inter-office travel etc.
  • Asset management will be performed in coordination with related logs staff under the line management of LC:
    • Manage assets based in Antakya, ensure staff sign for assets, complete regular asset checks and support the logistic team to maintain the asset register,
  • Monitor and control programme stocks; maintain stock cards, record transactions on Goods in Dockets (GIDs), Delivery Dockets (DDs), dispatch goods only after receiving Internal Requisition Forms (IRFs),
Reporting & Meetings:
  • Provide fortnightly reports to the Logistics Coordinator.
  • Provide all info to logs for FAR APP /Fleet App updates
  • Arrange regular “Housekeeping” meetings with Office Staff to ensure smooth running of the Antakya office
The above list of duties is not exhaustive list. The Antakya Office Manager is expected to complete additional responsibility and tasks as requested by the direct supervisor.
Requirements (essential)
  • Turkish Nationality
  • Bachelor’s Degree or equivalent
  • Minimum 5 years’ work experience
  • Fluent in Turkish, good English language skills,
  • Competent computer skills, in particular MS Word and Excel,
Requirements (desired)
  • Excellent verbal and written communication and presentation skills.
  • Familiarity with office management procedures
  • Ability to troubleshoot and repair problems associated with the facilities or grounds
  • Budget Planning and management skills
  • Motivated self-starter, able to make decisions and take action independently,
