Summary of position:
Intent:
The Embassy of Canada to the Netherlands is seeking to hire a Protocol and Contact Assistant to the Ambassador. Under the supervision of the Ambassador and in collaboration with the Assistant to the Ambassador (Canada Based Staff (CBS), the incumbent schedule appointments, provide secretarial and clerical support in Dutch and English; act as point of contact/coordinator for mission-wide events; organizes outreach in the country, coordinates the schedules of events at the Official Residence and Chancery, and performs other duties as required.

Summary of position:
Schedule appointments for the Head of Mission and visiting delegation;
Provide secretarial and interpretation services as required;
Coordinate hospitality functions, and address protocol aspects of functions or invitations;
Act as point of contact/coordinator for mission-wide events at the Official Residence and Chancery;
Manage and update the Ambassador’s contact lists;
Make in-country travel arrangements for the Head of Mission;
Performs other duties as required.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education
• MBO-4 or HAVO diploma or an equivalent combination of education, training and/or experience.

Language
• Fluency in English (oral and written)
• Fluency in Dutch (oral and written)

Experience
• Minimum of three (3) years of experience in the last five (5) years, and 1 year of continuous experience in a similar position or in an Administrative Assistant (secretarial) role.
• Experience in coordinating a senior manager’s agenda, including meetings.
• Data entry experience on varied informatics supports and applications performed in the last five (5) years.
• Experience in working with Microsoft Office Word, Excel and Outlook and general use of the Internet.
• Experience in visit and event organization.

Rated Qualifications
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• General knowledge of Canada and the Netherlands
• General administrative principles such as maintaining an effective filing system, office procedures, managing Outlook calendar and agenda, drafting routine correspondence, diplomatic notes, contacts management, e-mail and telephone etiquette etc.

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Previous experience as an Administrative Assistant at an Embassy within the past five (5) years
• University degree in administration, social sciences or similar field is an asset
• Work experience in a Canadian or international organization
• Intermediate level of French (oral and written)

Operational Requirements:
• The candidate is required to work directly with the public
• Occasional overtime may be required.
• The working schedule is five days a week (37.5 hours/week).

Condition(s) of Employment:
• Candidates should have the flexibility to exchange working days/work overtime/full-time in case of emergencies, or during periods of annual leave of job sharing colleague.
• Candidates must have a valid work permit at the time of submitting their application.
